Major Gifts and Trusts Coordinator

Position Objective:
To provide administrative support to the Fundraising Department

Term of Employment:
Full-time

Reports to:
Fundraising Managers

Primary Responsibilities and Duties:

  • Verify and input new donor data into the donor database, including demographic, donation, membership and personal information
  • Manipulate data to produce specialised letters, mailing lists, labels and reports
  • Assist with the preparation and proofreading of major donor mailings
  • Make thank-you calls for any gifts between £100 and £249
  • Build knowledge about PETA's campaign progress and victories in order to be able to handle Vanguard enquiries in a comprehensive manner
  • Continue to develop and manage the ThankQ database and ensure data integrity between the Eprisa database and the ThankQ database, producing regular reports for the management, until such time as we have converted and moved all ThankQ data to the Eprisa system (at which point we will work with Eprisa only)
  • Monitor the acknowledging process at Saturn, ensuring accuracy and consistency and working closely with support staff to ensure that acknowledgements and welcome packs are going out accurately and on time and that queries are coming over to us within the agreed timeframe
  • Maintain and expand knowledge of computer software (ThankQ and Eprisa) by reading yearly updates, attending user conferences, interacting with the manufacturers' technical support staff and reading the manufacturers' literature
  • Perform major donor research in order to assist in building regularly updated, comprehensive donor profiles including information on house and prices, careers, contact information, income and other general details from a variety of internet sources (full donor profiles will be completed for all A-list and B-list donors by the end of 2010)
  • Read rich lists and keep up to date with sources of information on major donors for possible targeting
  • Liaise with the membership services team to ensure they are fully briefed on all mailings
  • Assist the membership services team in dealing with donor enquiries
  • Maintain and update the Fundraising Department's files
  • Perform any other tasks assigned by the supervisor

Qualifications:

  • Donor research experience and a solid understanding of high-value fundraising techniques
  • Experience with fundraising software or similar database systems and the Windows operating system
  • Excellent computer skills with good knowledge of Microsoft Office software (Excel, Word, Outlook, Internet Explorer, etc)
  • Good proofreading skills
  • Excellent attention to detail
  • Excellent written and verbal communication skills
  • Ability to maintain strict confidentiality at all times
  • Commitment to the objectives of the organisation
